Website and Database FAQs
Being a new database, we expect it'll take a little time for Summer Uni coordinators and administrators to get used to it. We've listed below some frequently asked questions to help you.

Why should I use a centralised database?
The free database offers a Summer uni:
- A custom built, easy to use course database
- Centralised tracking of trends within and across boroughs
- Enhanced publicity for your Summer Uni
- The facility to meet the monitoring requirements of the Summer Uni Grant schemes
- The facility to manage applications and enrolments online
- Production of registers, mailing labels, attendance reports and certificates
There is significant demand for services for young people to be advertised online in complement to other forms of advertising. Using the centralised Summer Uni London website will enable you to benefit from a central marketing push and maximise the number of young people that you are able to reach.
Do I have to use the database for listing my courses?
If you are receiving a Summer Uni Grant, then you are required to advertise your courses on the site; however the site offers such significant benefits that even Summer Unis that are not receiving a Grant are still choosing to advertise their courses through it.
Do I have to use the database for enrolling young people onto my programmes?
No although recipients of the Summer Uni Grant should note that they are required to submit their Summer Uni statistics to us by 7 November 2008. By using this database for your enrolment, you will be able to generate your statistics much more easily. You will also be able to compare your Summer Uni with those of neighbouring boroughs.
Is the system secure?
Yes as we encrypt all student data which is hosted on a secure server and protected by firewall.
How do I get a user name and password to log-in?
To get a user name and password, please contact us to discuss your needs.
I've forgotten my password.
We do not have access to your password, however please contact us to reset your password.
How will a young person find my courses and contact details?
Courses uploaded to the database will be browsable by location, date and course category through the student pages of our website. Please ensure that you have assigned each a category to every course.
Contact details are listed alongside each course and with a profile for your Summer Uni. These details can be changed by logging in to the Management Portal and editing the Summer Uni Profile section.
How do I upload course, venue and tutor details?
Course, venue and tutor details are uploaded by logging in to the Management Portal. Note that you will need to enter venue details before you can upload any courses.
How do I manage my student data?
Students who enrol online will automatically have their details inputted into the Course Database, however you also have the facility to upload information for students who have enrolled through other means. Using the online management portal will enable you to keep track of students from year to year and to run exports/reports to interrogate the data.
How can I change what's written about my Summer Uni in the Summer Uni Listing?
These details can be changed by logging in to the Management Portal and editing the Summer Uni Profile section.
How can I print information held in the database?
A number of pre-prepared reports are set up within the database, you can print registers and labels for students. You can also export the data to interrogate and publish it within your own local statistics packages.
I'd like some training please!
Training is included in our annual Summer Uni London seminar programme. If you need some training outside of this schedule please contact us to discuss your requirements.
Can I print a clean copy of a Parental Consent Slip?
The Parental Consent Slip comes up during enrolment if the student is under 16 years of age and fills automatically with relevant information, so it is not possible to print a blank copy. But if you need to print one, you can download a blank copy from here. (44.00KB)
